This Privacy Policy explains how Studio 303 (“we,” “us,” “our”) collects, uses, and shares information when you visit our website at studio303hair.com (the “Site”), contact us, apply for work, or use related services.
A. Information you provide through forms
Contact Us form: When you contact us, we may collect your name, email address, phone number, and the message you submit.
Join Our Team (job applicants): When you apply, we may collect your name, email address, phone number, and information you include in your message. You may also provide an Instagram handle. If you upload files, we may collect and store your resume/CV and any images you upload (for example, images of your work).
Important: Please do not submit sensitive personal information through our forms (for example, payment card details, government ID numbers, or detailed medical information).
B. Information collected automatically
When you visit the Site, we (and our service providers) may automatically collect technical and usage data such as IP address, device and browser type, pages viewed, timestamps, approximate location (city/region), and cookie identifiers. This information is used for security, performance, and understanding how the Site is used.

A. Contact Us form
Contact form messages are delivered to us (typically by email). We do not intentionally store Contact Us submissions as form entries in the Site’s database. However, copies may exist in our email system and may be retained there.
B. Join Our Team form
Job application submissions are stored in the Site’s database and can be viewed by authorized administrators through the WordPress dashboard (including a “Form Entries” area). Uploaded files (such as resumes and images) may also be stored on the Site’s server as part of the application submission.

We use the information we collect to:
- respond to inquiries and provide customer support
- review and process job applications
- communicate with you (for appointments, questions, recruiting, or follow-up)
- operate, maintain, and improve the Site and services

5. Online booking through Phorest
Appointments are booked through Phorest, an external online booking platform. When you click a booking link (such as “Book Now”), you are redirected to Phorest. Information you provide during booking is processed by Phorest under its own privacy practices. We encourage you to review Phorest’s privacy information when booking.
6. Cookies, analytics, and consent
A. Cookie categories

8. Backups (UpdraftPlus + Google Drive)
We back up the Site (including its database and uploaded files) using UpdraftPlus to a Google Drive account controlled by the Site owner (a business/organization account). Backups may include personal information (including job application entries stored in the database and uploaded files).
Backup retention: We retain backups for up to 90 days. Because backups are designed for disaster recovery, information may remain in backup copies until they expire or are overwritten according to this schedule, even if it is deleted from the live Site.
9. Data retention
We keep personal information only as long as reasonably necessary for the purposes described above:
- Contact inquiries: retained in our email system for as long as needed to respond and maintain appropriate records.
- Job applications: retained for up to 12 months, unless you are hired or we are required to retain information longer for legal or business reasons.
- Website logs and security data: retained for limited periods as part of normal operations and security.
- Backups: retained for up to 90 days as described above.
10. Security
We use reasonable safeguards designed to protect personal information, including access controls and security measures on our website and hosting environment. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
